Privacy Policy
Worker Ant Limited (“we”, “us”) takes privacy seriously, whether you are visiting this website or trusting us with your organisation’s documents. This policy explains what we collect, why, and how we look after it. It covers two things: information about you as a website visitor, and the files and correspondence you share with us as a client.
Part 1: Website visitors
1. What we collect
- Details you give us directly: name, email address, phone number, and anything you include in a message to us.
- Usage information: IP address, approximate location, browser and operating system, how you found us, and which pages you visit.
2. Cookies
Cookies are small text files placed on your device. We use them to make the site work properly, remember your preferences, and understand how the site is used. Some last only for your visit (session cookies) and some persist between visits. You can block or delete cookies in your browser settings; parts of the site may not work as well without them.
3. Newsletters
If you sign up for our newsletter, we use Mailchimp to manage the mailing list, and your email address and preferences are stored on Mailchimp’s servers. We only add you if you have expressly signed up, and every email we send includes an unsubscribe link.
4. How we use this information
- To run and improve the website.
- To respond when you contact us.
- To send marketing you have asked for.
We do not sell your information.
Part 2: Client files and project data
This part covers the documents and correspondence you share with us when we carry out work for you.
5. Intake
For each project we create a secure SharePoint site, and your team uploads the documents, templates, brand guidelines and supporting files there. Access is limited to the people working on your job.
6. Processing
Your documents (Word files, PDFs, presentations, spreadsheets, templates and artwork) are processed on Worker Ant machines. We do not upload your documents to external services, and we do not share them with third parties.
7. Correspondence and AI
Emails and written briefs about your project may be analysed with enterprise AI tools so that nothing in your requirements is missed. We use Microsoft 365 (including Copilot) for mail, and the Claude API from Anthropic for reading project correspondence. Under our agreements with these providers, your data is not used to train AI models. Only the text of correspondence about the job is analysed this way. Your documents and files are never sent to these services.
8. Retention
Project files are kept for six months after delivery so we can support the work, then deleted. If you would like them deleted sooner, tell us and we will confirm when it is done.
Part 3: The legal bits, for everyone
9. Storage and security
Personal data is stored on secure servers, and we take reasonable technical and organisational precautions against loss, misuse, and unauthorised access. Retention complies with applicable law.
10. When we share information
We share personal information only:
- with our employees, agents, suppliers, or subcontractors where genuinely necessary to do the work described in this policy;
- with the service providers named in this policy (Mailchimp, Microsoft, Anthropic), each under their own data protection terms;
- where the law requires it, or in connection with legal proceedings, or to establish or defend our legal rights.
11. Your rights
You have the right to ask us for access to the personal data we hold about you, to have it corrected, to have it deleted, to receive a copy in a portable format, to object to or restrict how we use it, and to withdraw consent where consent is what we rely on. To exercise any of these, email . You also have the right to complain to the Information Commissioner’s Office (ico.org.uk) if you think we have handled your data badly, though we would rather you told us first so we can put it right.
12. Third-party links
This website links to other sites. We are not responsible for their privacy practices.
13. Changes to this policy
If we change this policy, the current version will always be on this page, and meaningful changes to how we handle client data will be communicated to active clients directly.
